The Lawfare Institute—publisher of information and insight at the intersection of national security, law, and policy—seeks a highly motivated and organized full-time or near full-time finance and operations coordinator based in the Washington, DC area.
The finance and operations coordinator reports to and supports the chief operating officer on financial, personnel, and administrative duties. This is an excellent opportunity for individuals with experience in bookkeeping, payroll and benefits administration, accounting, or small-organization operations who are interested a dynamic role with functions across these areas.
The finance and operations coordinator will perform tasks centered around bookkeeping, payroll, office administration, and related matters, to include:
- Entering accurately and maintaining efficiently Lawfare’s financial data
- Paying bills and reconciling any expense discrepancies
- Processing payroll and benefits
- Serving as primary liaison between benefit providers and employees regarding changes to benefits and/or employee queries
- Onboarding new employees and contractors into all relevant systems
- Processing donations and other income
- Organizing and maintaining physical and electronic office records
- Developing and presenting regular financial reports to the leadership team
- Working with our CPA and others on tax filings and related requirements
- Assisting the chief operating officer with audit preparation
- Processing the Lawfare Institute’s physical mail
- Preparing management-requested financial statements
- Organizing and maintaining physical and electronic office records, including receipts
- Serving as primary liaison with the Lawfare Store coordinator
- Maintaining donor records and assisting chief operating officer with donor relations
- Supporting institutional funding proposals
- Monitoring and tracking deliverables for grant reporting
- Processing corporate registrations
- Scheduling and organizing in-person events or employee travel
- Maintaining physical office equipment and supplies
- Compiling and presenting to management other operational data
Candidates must have at least a high school degree, at least one year of relevant experience, and proficiency with QuickBooks. Experience in Microsoft Excel and a demonstrated background in financial principles are strongly preferred. The strongest candidates will have a college degree in business administration, finance, or accounting and/or at least two years of experience (including some bookkeeping, accounting, and/or payroll duties in at least one nonprofit enterprise); familiarity with ADP Run and/or the Google Admin suite; and a combination of flexibility, self-motivation, patience, trustworthiness, unquestionable professional integrity, and solid written and oral communication skills. A familiarity with or interest in national security and/or legal topics is helpful but not required.
The position is based in the Washington, DC area. Work will be performed primarily remotely, but regular visits to Lawfare offices (near Dupont Circle in the District) are required to perform on-site duties.
